September Meeting Minutes!

PELICAN LAKE AGRICULTURAL SOCIETY FAIR BOARD MEETING


September 21, 2025


Called to order at 1:06 pm by Bryan Podworny


PRESENT: Bryan Podworny, Leanne Treloar, Blair Rankin, Eva Miller, Connie

Bergman, Kendall Carlisle,

Apologies: Doug Treloar, Ray Miller

Volunteers: Joe McDougal


Minutes accepted as disturbed by email. Moved by Leanne Treloar and seconded by

Blair Rankin that the minutes be accepted as emailed with no errors or admissions.


Treasurers Report: See attached.

Moved by Leanne Treloar and seconded by Blair Rankin that they Treasurers report be

0

Leanne motioned that $10,000.00 be moved into a short-term investment. After

discussion motioned made by Blair Rankin and seconded by Connie Bergman that

$15,000.00 be moved into a 6-month term deposit.

Old Business

Rocky Mountain Equipment Grant was applied for asking for mobile cattle panels.

Decisions on who gets the grants will be September 30 th .

The private gymkhana event was canceled as area was wet from excess rainfall during

the week.


New Business

The fridges purchased in the spring can not keep items cold. Bryan Podworny spoke

with a refrigeration specialist. These types of fridges are not meant for outdoor use.

When the temperature rises above 70 degrees Fahrenheit, the fridges are not able to

keep up. Discussion followed as to how to correct this. Possibly installing air

conditioner or moving coolers. This would also entail making the window opens

smaller, to decrease the work of the air conditioners.


Discussed building a 3-sided covered structure to put the grills under. Both Bryan

Podworny and Blair Rankin have been to several events this past summer where the

fried food is prepared this way.


The canteen was open for part of July and August on Friday evenings during the

Farmers Market and made approximately $200.00. Some people were asking for

hamburgers, if we purchased a larger grill or griddle, we could do this. If we used the

outdoor grill, would need more volunteers to work booth and grill.


Discussion regarding Halloween for the kids. Set up in the grounds and give out the

remaining canteen items.


Volunteer Appreciation will be held Oct 23 rd from 7:00 PM to 9:00 PM. Offer coffee, tea,

and use the left-over alcohol from the canteen.


Bryan Podworny is meeting with Kirk McCreachon regarding the riding arena to discuss

how to correct the drainage of the arena.


Erin Wolfe has expressed some interest in returning to PLAS and organizing the Barrel

Racing aspect of the Fair.


Connie Bergman informed the group that the Miniature Horse Association of Manitoba

has expressed interest in PLAS. The Association organizes the classes and judges,

PLAS just pays judges, pay outs, and ribbons. Connie expressed interest in taking this

on.

This would mean that we would need someone to organize the Light horse show.

Perhaps Gail Campbell or Erin Wolfe would take this on.


Discussion that in the past PLAS participated in the meat draws at the hotel. We would

usually do well in the winter months vs in spring and summer. Investigate the possibility

of doing this again.


Discussion regarding raffling off a side of beef as a fund raiser. With draw being made

around Christmas. There would be a limited number of tickets issued and sell for

about $20.00. Blair Rankin will contact J&S meat regarding pricing.


Fair Board Book will be updated and distributed late April or May. We will do

canvassing for advertisements in early part of winter to get names of sponsors into the

book.


Trickle Creek has expressed interest in returning for two days again.


Annual General Meeting will be held November 23 rd at 1:00 PM followed by a regular

meeting. Leanne Treloar will contact Marie Jansien again to audit the books.
