PELICAN LAKE AGRICULTURAL SOCIETY FAIR BOARD MEETING MARCH 16 TH
Called to order at 2:05 pm by Bryan Podworny
PRESENT: Bryan Podworny, Leanne Treloar, Blair Rankin, Ray Miller, Eva Miller,
Kendall Carlisle, Connie Bergman
Apologies: Doug Treloar,
Volunteers: Aline Lundgren, Barb Travis
Minutes of Feb 25 th had been emailed to Board Executives and volunteers present.
Motion to accept minutes as circulated. Moved by Connie Bergman and seconded by
Ray Miller that minutes be accepted as circulated.
Treasurers Report Leanne Treloar presented the Treasurers report. See attached.
Moved by Connie Bergman and seconded by Aline Lundgren that the treasures report
be accepted as presented.
Correspondence
Emailed received from the Manitoba Gymkana Association. See attached. Bryan
Podworny will contact and get further information. Group felt $40.00 participation fee
was acceptable, if it brought more participants. Connie Bergman is not familiar with this
association.
Old Business
Teen Dance
There was 18 kids that attended. It was hoped that we might have more participants,
however the ones who did attend had fun. Discussed having another Teen Dance on
the Friday evening of the fair. As there is limited things for that age group at the fair.
We might also have more kids as there would be those attending from Happyland.
Eva Miller reach out to the Bingo Committee in Ninette to inquire if they would like to
purchase the open boxes of chips, chocolate bars, and drinks.
Social
Liquor has been ordered from the Grocery Box and beer from the Ninette Hotel.
South West Community Options will once again do the Lunch for the same price as last
year which was $400.00.
We will reach out to those businesses that contributed to the silent auction last year. As
well there has been a post of Facebook reaching out for silent auction prizes.
50/50 will be held about 11 at night and will be a challenge of the sexes to see who can
raise more.
Doors will open at 8:00 PM , when selling tickets advise people the time is wrong on the
tickets.
Music bingo will occur at approximately 9:30 pm.
We will need approximately 10 volunteers to work the door, silent auction, and 50 to 50
tickets.
Easter Breakfast
Will be held April 19 th . Hall has been booked but we need to vacate by 1:00 PM as
there is another party booked for the afternoon.
We will charge $15.00 for adults and kids, children under age of 5 will be free.
If families want to participate in the Easter egg hunt and pictures with the Easter bunny
it will be $5.00 for this.
We will need about 10 volunteers for this and 5 to get together the day before to cook
the meet and to set up.
70-year Anniversary Special
Bobbi Rankin had asked someone to judge, but, they had declined. However, Leanne
Treloar has someone in mind. Eva Miller asked about having $5.00 entry fee. Will
discuss with Bobbi Rankin.
FAIR!!!
Friday Evening Supper
We will go with the Food truck supplying the meat at $5.00 a plate. PLAS will supply
the bake potatoes. We will ask a few people in town to bake the potatoes, and
purchase the rolls. Bryan Podworny will ask The Pelican Lounge, Hot and Frosty, and
the Ninette Hotel for prices/donation of salads for 150 people coleslaw, macaroni, and 3
bean salad.
Children’s Entertainment.
Eva Miller has contacted the Heathers Pretty Parties, and initially there cost is 1749.00
from Winnipeg. This would include 2 characters and someone that does face painting
as well as tattoos. Unsure if tattoo is included or if another person. Eva will follow up
with this question. Group felt this cost was not much more than what was budget for
which was $1650.00, and if it includes someone that tattoos then to go ahead and book
this company.
Bouncy Castles
Bryan Podworny has reached out to this company several times tried to contact
Brandon Bouncy Castles but they have not returned phone calls. He thinks that
Pinnacle Tents may also have inflatables, he will reach out to them to inquire.
Music Entertainment
All but the evening entertainment for Saturday from 9:00 to 12:00 pm have been
confirmed.
Cattle Show
Eva Miller asked if we were planning on having an entrance fee this year. Blair Rankin
had stated since again this year it will be just the 4-H clubs to not charge, and he will
look for more sponsorship. We would issue an invoice to those companies that sponsor
the cattle show.
Horse Show
Gail Campbell has expressed interest in assisting with the horse show. She will help
Connie Bergman with the gymkana. Connie is to reach out to Gail Campbell.
It was suggested by Gail Campbell that we charge a family rate to enter the horse show.
Perhaps only have the lead classes for the younger group and riding classes for older
riders.
Car Show
If we are needing space because increase interest in the cattle and horse show
participants, perhaps the car show could be held on Victoria Street from the Ninette Hall
to the Grounds.
Ag Olympics
Discussed entry fee to participate. Would be teams of 2 to 4. The entrance fees would
go to prize. We could hold this from 4 to 6 PM on Saturday evening.
Sponsorship Levels
Bryan Podworny will complete the sponsorship levels and we will send with the letters
that will be distributed regarding donations for the fair. We will hand deliver most of the
letters to business in the area.
New Business
Eva Miller questioned whether would should charge the same amount for vendors to
participate in the Fair. The past two years it has been this amount. Do we want to
charge more. Agreed to charge vendors the same amount, as well if they are wanting
to set up on Friday evening they can do this as well. For the same amount. Eva will
contact Kara Burnell to inquire if vendors were happy with the placement last year which
was behind the tent.
