PELICAN LAKE AGRICULTURAL SOCIETY FAIR BOARD MEETING

May 11th, 2026

Present: Bryan Podworny, Leanne Treloar, Blair Rankin, and Eva Miller

Old Business:

Daniel Simpson will install the new windows and fans in the canteen the expenses will be more as he is doing both.

Barrel racing  is a set for May 19^th, for the first evening, gates open at 5 PM.  There is a need for 6 volunteers.  Discussion occurred regarding purchasing a BBQ grill for grilling the hot dogs.  Moved by Leanne Treloar seconded by Bryan Podworny that we purchase a blackstone grill for approximate value of $500.00 .  We will need to purchase food and drinks for sale at the barrel racing.  Will charge $8.00 for combo of dog, chips and drink. 

Kirk McCrechrean will work up the riding arena this week as well as will deliver donate sand for the arena this week.

The Hutterite ladies will provide salads, baked potatos, rolls, and tarts.  Cost for salad is $30.00 a gallon.  Have decided to have just two salads and will need about 12 gallons of each.   Will follow up with the colony to advise them of the changes and amounts.

Discussion of what to charge  $25.00 Adults, $20.00 Seniors, $10.00 children ages 6 to 10. 

Children’s activities Lori Bessant will do face painting she does not want to be reimbursed for her time, just for the supplies.   We will need about 2 volunteers on Friday evening and 3 on Saturday.

Mini Horse show there are 44 classes listed and 42 are paid out.  Payout is the same in each of the 42 classes $25.00, $20.00, $15.00, $10.00, & $5.00.  Unsure if there has any sponsorship as yet.

Bryan Podworny has been in contact with the Pork BBQ person who will arrange to get the pork and prepare the same.  PLAS will purchase the pork and other supplies needed .  Suggest keeping menu simple pulled pork, chips, and drinks.  Canada Day decorated cake.

Bryan Podworny has purchased 3 water hose and will need to be reimbursed.   

Logo contest information posted on website, the website information did not mention it was inclusive to grade 12 students; therefore, we will eliminate these criteria.  There has been 1 submission as of today.

Jeannine Boulet contacted the organizers in Baldur for the weekly corn hole competition; they do not have the games just call out to community members to borrow.  Discussion regarding purchasing the games.  However, since 1 set is approximately $100.00 and we don’t have any idea how many of participants we will get,  we might spend money and not have participants.  Suggest we seek borrowing from community members.

Ag on the Moove would need between 2 to 4 volunteers.

New Business:

RM of Prairie lakes have advised Fair Board that they intent to build  year-round use bathrooms on the grounds for use of AIS employees and tourists.  They will pay  future hydro that would be used from that hydro pole and use the current hook up for the water that is in place.  There was also discussion that the RM are wanting to take down the barns.   Further discussion as to the lease rights of PLAS.

South West Community Options approached the Board about running the canteen.  They would rent the space for the weekend of the fair and sell a variety of canteen items, that will not conflict with the food trucks.  South West agreed to pay $200.00 to PLAS and will purchase all the items to stock the canteen, as well will arrange workers for all 3 days.   They will need more work space, so we will move a lot of the items that are currently being stored there out.  Leanne Treloar has arranged to have a 16-foot storage trailer brought in at no cost for that weekend.  It will need to be picked up on Thursday and delivered back on the Sunday.  We could set up for the volunteers in there to store personal items have drinks and some food for them as well as some chairs to sit for a few minutes.

A copy of the posters has been sent to the Gazette in Baldur and will be ready possibly tomorrow.  There is a poster specific for the Car show and fair day.  Cost is approximately 50 cents a poster.

AK from the Ninette Hotel as approached the Board to run the weekly meat draws, unable to do this as there is not enough volunteers. 

Bryan Podworny will ask Jaques Bealieu to bull doze the old canteen.

The Rocky Mountain Equipment Grant is again open to Ag Societies in Manitoba, Saskatchewan, and Alberta.  Minimum amount to apply for is $10,000.00.  Last year we applied for funds to cover the cost of cattle panels, however, it was less than the $10,000.  We could apply for the same except if we asked for 20 more panels this would be more than the $10,000.  As we would need for the mini horse show ring. 

Next meeting scheduled for May 24^th at 2:00 pm at Ninette Hall.
