February Meeting Minutes

PELICAN LAKE AGRICULTURAL SOCIETY FAIR BOARD MEETING

February 23rd 2026

Present: Bryan Podworny, Leanne Treloar, Kelly Krushelniski, and Eva Miller

Apologies: Kendal Carlisle, Connie Bergman, Blair Rankin and Doug Treloar

Treasures Report: 

Discussed 

Motion by Leanne Treloar to accept treasurers report, seconded by Kelly Krushelniski.


Correspondence:

Further correspondence from Manitoba Association of Agricultural Societies (MAAS) regarding the AGM which will be held in Brandon. 

Correspondence and application received from Manitoba Gymkhana Rodeo Association received.   PLAS will once again participate and will pay the early registration fee of $40.00. 


Old Business:

Fan yet to be purchased

Two meat draws and music bingo has been held and have been successful, last one will be March 28th.   Eva Miller paid for the meat for the second draw total bill was $338.95 this was higher because the Grocery box doubled the order for some things. The extra meat has been frozen for use in March’s fundraiser.  

Both the beef and pork raffle tickets and social tickets have been received and have been distrubted.  We plan to leave both sets of tickets at the Westoba, Grocery Box, and Secret Seconds and possibly Pelican Lounge.    Bryan Podworny will develop posters for raffle and the Social.

Fair Book ongoing 

Leanne Treloar presented a draft budget.

Ongoing discussion regarding a 3-day fair.  As with the adding the Miniature horse space on the grounds is limited.  We will need to make definite plans as  Community Festivals Grant that can be applied for which is for communities that have 2 days of activities.  Discussion regarding having a corn hole tournament for various ages.  Again volunteers will be the biggest con.

Barrel Racing tabled as Erin Rolfe not present to further discuss.

Eva and Leanne have been making tentative plans.  There was an over estimate on the number of people attending last year, so will cut back food purchasing to estimate about 100 people.   Posters will need to be made and will advertise in the locals paper. 

Canada Day we have heard that there will be a community breakfast at Ninette Hall, discussion ongoing as to when we might start activities as result.   If we want to continue Canada Day activities in the future, Eva learned that grants must be applied for by November 30th

Bryan Podworny  confirmed with Pinnacle for the tent, however they sold the inflatables.  Brandon Bouncy Castle was contacted for inflatables and Bryan will confirm pricing with this company.  

Eva Miller emailed Heather’s Pretty Party today regarding having two characters as well face painter attend on the 13th

Leanne Treloar is following up with those people who presently are storing campers on the grounds.  She will also invoice Ice Hole Fishing for the annual signage fee.

Eva Miller is working on the infrastructure grant, needs to get some costings from Blair Rankin for the gates and fencing and then will submit.   The  RM of Prairie Lakes have donated the gravel for the horse arena.

The portable community sign has been purchased, and will be picked up in the spring.

Bands ongoing

The car show discussion.  Eva Miller found out that we will need to get approval RM of Prairie Lakes as well as the permit from the RCMP.  Discussed possibly closing of both Argyle and Victoria from Ninette Hall to Fair grounds.  Kelly Krushelniski suggested having a registration fee for the car show participants at this time is not something the Board is considering as the majority of the activities except for the horse show is free to participants. 

Beef Supper on going.


New Business:

Bryan Podworny will attend the MAAS meeting on Saturday.  Motion made by Leanne Treloar and Seconded by Eva Miller that PLAS pay his expenses for attending.

Motion made by Bryan Podworny and seconded by Leanne Treloar that we apply for RM of Prairie Lakes Grant in the amount of $8500.00 to partial cover the cost of entertainment. 

Eva Miller will apply for the Communities Festival Grant which is due March 30th

Discussion regarding having a pie auction one the first night of the Fair or Saturday.  This has been successful in the past.  We will have to ask the community for donations of pies.  This fundraiser has been successful in the past.
